Hello everyone and welcome to this week’s Excel Tip! This week we have a general user post in which we look at broken workbook links – how they happen, why those problems exist and how to fix them. This is an extension of the topic first addressed in TOTW # 226.
The syntax is clear enough and easy to read, but it depends on the second workbook you open. Close and see instead:

It’s informative, but only brief – the entire path of the source workbook file is listed. Finally, if we move the original workbook elsewhere and then reopen the formula file, it is as follows:

Specifically, the value of the cell remains 1 – the last known value for this resource – but given what is in the original workbook, it is no longer possible to determine whether this is accurate. This behavior can mean that the innocent user works with the leaked data without noticing it – especially since most people are trained to read or exclude error messages without thinking about them.
The first and best option when dealing with a broken connection is to disconnect it. If you know where the file has moved, edit the link in the error prompt above or you can see what the problem is by clicking in the data bar:
The updated values will try to retrieve the latest values from the source (even if they are off), which may be useful, but in our case we want to change the source. Update to the latest location and the value will be updated and the corresponding link will be restored.
If the original workbook is lost or the link no longer exists, we may use a break link instead to replace the link in the workbook with a hard-coded value corresponding to the last available data in the original workbook. It’s fast and automated and will apply to all formulas in the current workbook … but only for formulas. This causes a lot of problems where the “Disconnect” button doesn’t seem to work because the link in the workbook appears somewhere other than the formula.

Breaklinks will convert all cells that use this named range into values, while the designated range will remain the same. You can find this by opening the Name Manager on the Formula Bar, where external links are easily visible, and from there you can change or delete names.
Although you cannot create direct references to other workbooks by checking data, you can use the INDIRECT feature in custom rules to call external workbooks:
The formulas on hidden worksheets will be updated when using disconnection, however this is a common way to miss something if you try to find those links instead. Links to workbooks can be found e.g. Search on “.xls” or “[” – but hidden worksheets will be omitted.
As with data authentication, you cannot create direct references to other workbooks in custom conditional formatting rules, but you can use indirect:
